After the conflict search, you can, if necessary, perform a more thorough conflict check, which will be saved to the customer’s information. When saving a new conflict check, the software checks if there are already open (active) conflict checks where the customer is in any role. In that case, you will receive a notification showing the principal and subject of the existing conflict check, allowing you to confirm or cancel the new check. This prevents situations where the first conflict check is still awaiting, for example, an approval, and the same customer might be in a different role (e.g., as an opponent) in a new check.
To perform a conflict check:
- Open the Workspace area’s Conflict Search folder.
- Enter a search term to find the customer.
- Select the customer from the list for whom you want to perform the conflict check, and click the “Create Conflict Check” button.
- Enter a suitable description for the conflict check in the Subject field for later identification. If needed, add a longer description in the Description field.
- Change the Matter Responsible and "Processed by" (handler) if necessary (the handler defaults to the current user).
- The Status Code field options are In Progress, Approved, and Rejected, and these are filled automatically.
Based on the information you provide, the window will list the principal’s matter history. For each matter, the number, name, parties with their roles, and any possible end date of the matter are shown.
If you want to add other parties related to the matter to the conflict check:
- First, save the conflict check you created with the Save button.
- Go to the Other Parties folder and select the Link button.
- By default, a new company customer is linked to the check, but you can also add an individual by selecting the customer type from the arrow below the Link button.
- In the Look Up Records (data selection) window, search for the desired customer or create a new one with the New button.
- Add all parties involved in the matter.
As you add parties to the check, their matters will be added to the matter list. If a party added to the conflict check has other ongoing conflict checks, these will appear in the Related Conflict Checks folder.
You can also create a conflict check from a matter request. In this case, you cannot create a matter directly from the conflict check; instead, it must be done from the matter request. A conflict check from a matter request can only be created once.
