Reminders added to specific records and views help ensure that agreed things are not forgotten or overlooked.
You can set individual reminders to repeat every X days, for example, when a customer wants a monthly report on the status of their matter. And adding of view-related reminders allows for quick reactions to overdue invoices, for example.
You set an individual reminder either in the view by selecting the target row or in the record's window using the Add Reminder button.
- Set the subject, reminder time, and user to whom the reminder will be sent.
- If you want to set the reminder to be recurring, select the Repeating Reminder checkbox and specify how many days apart the reminder will be shown to the user. When a repeating reminder is dismissed, the software automatically creates the next reminder X days from the date of the dismissed reminder.
To add a view reminder:
- Select the desired view from the folder (e.g., Financial Management > Invoices > Overdue Invoices).
- Select the Reminder button to the right of the filters.
- Specify the number of overdue invoices in the Search Result (at least) field, which will trigger the reminder. In the above reminder, the Search Result is 1, so the reminder is created whenever there is at least one overdue invoice on the list.
- Select the user to whom the reminder should be sent in the User field.
- Edit the Subject field if necessary. By default, the view name is copied into it, but you can edit the subject to better describe the reason for the reminder.
When the reminder is no longer needed, you can deactivate or delete it using the functions in the Reminders folder ribbon.
