You create a new matter request in the Workspace area, under the Matter Requests folder, using the New button.
- Complete at least the mandatory fields marked in red: principal, subject, and receiving date (by default, the current day).
- You can search for a customer by typing their name or part of it in the Principal field and pressing Enter. If the customer is not found, click the magnifying glass icon to open the data selection window with more search options. If the customer is still not found, create a new customer using the New button.
- Enter a descriptive name for the matter in the Subject field. This information is transferred to the matter and will also appear on the invoice printout unless it is overridden in the Invoicing tab’s Invoice Subject field.
- You can search for a customer by typing their name or part of it in the Principal field and pressing Enter. If the customer is not found, click the magnifying glass icon to open the data selection window with more search options. If the customer is still not found, create a new customer using the New button.
- Also complete the fields marked in blue: type, language, owner, and responsible person, which are needed to create the matter.
- Ensure the matter’s language is correct, as it determines the print language of invoice templates. If the language is other than Finnish, the software will also consider language translations when entering transactions and expenses.
- The owner (e.g., partner) is ultimately responsible for the matter, while the responsible person manages its practical handling. The power user can set the Owner and Responsible Person fields to default to the matter opener’s information in the settings.
- You can also add an assistant (e.g., supporting lawyer or assistant), seller (the person who brought the matter to the office), and invoicing contact, who is the primary contact for invoicing and will also appear on the invoice.
- The power user may have defined a user group for each matter responsibility role, which has the right to act in that role.
- If the pricing for the upcoming matter is already known, save the price information in the Invoicing tab, which will be transferred from the matter request to the matter.
- The matter’s currency is the default currency for entering transactions. Euro is recommended as the default currency even if the customer pays in another currency; the invoice can always be printed in a currency different from the entry currency. If the matter is in a foreign currency, the amounts you enter will appear in the foreign currency fields, and the base currency amounts will be calculated accordingly.
- The matter’s hour price overrides all other hour prices defined in the software.
- If a fixed price has been agreed with the customer, select the Fixed Price field and set the agreed price. The matter can then be invoiced only once, and the invoice will be sent at the set price regardless of entries, and no discounts can be given to payers.
- If a maximum price has been agreed, enter it in the Price Limit field. When the price limit is exceeded, the software will either warn or prevent new transactions from being entered. You can also add a price alert limit, which informs the responsible person of the approaching price limit.
- Exceptional VAT handling overrides the customer’s home country tax status if necessary.
Save the matter request, after which you can continue processing it.
