Closing a Single Matter
When a matter is complete and all work has been invoiced and payments processed, you can close the matter by selecting Close from the ribbon in the matter window.
When closing a matter, the software checks if it is an insider matter and prompts you to remove the insider marking if necessary. However, the matter can be closed as an insider matter, in which case it remains visible only to users with insider access.
To prevent premature closing, the power user can define in the settings which information prevents closing a matter (Settings > Business Unit Parameters > Customers and Matters > Closing a Matter). A closed matter can also be archived using the Archive function on the ribbon, which assigns an archive number and status to the matter.
A closed matter can be found in the Matters folder by selecting the Closed Matters view, and it can be reactivated if needed.
Mass Closing of Matters
Matters can also be closed in bulk, as long as all selected matters belong to the same business unit. When you select matters from the Matters list and click the Close button on the ribbon, you can enter closing information in the window that opens and choose how to handle open activities related to the matters. They can either be marked as completed or removed.
If a particular matter cannot be closed in bulk, it will appear on the error list and you will be prompted to close it separately.
To identify matters pending closure, the Matters list includes a “Matters with No Entries in 12 Months” view. It lists matters with no expenses or transactions recorded in the past year and shows the date of the last recorded transaction or expense.
