The transaction details are divided into the General and Invoicing tabs. The Notes tab allows you to add notes related to the transaction.
General transaction details are completed on the General tab.
Matter and basic transaction fields
- Enter in the Matter field the matter to which the transaction will be recorded. If you begin the entry from the matter window, the field is filled in automatically. Selecting the matter also fills in the Customer field with the matter’s customer, as well as the matter’s language and currency.
- Date is the transaction date which will be printed on the invoice specification; by default, today’s date.
- The Author field defaults to the current user, but you can change it if needed. This information also appears in the invoice specification.
- The text entered in the Transaction field appears on the invoice specification. If transaction types are enabled, the description defined for the transaction type is copied in as a draft, which you can modify as needed. With the Search Text button on the ribbon, you can copy a description from the author’s previously recorded transactions - either from the same matter or from all transactions recorded in the last 30 days.
The selected description replaces the original one.
The maximum length of the transaction text is 1000 characters, and, for example, Romeo rejects legal aid claims containing overly long transaction texts. The software also checks the spelling of the field.
Pricing section
At the bottom of the transaction window you define the transaction’s price. For hour‑based transactions, the price is determined by the number of hours and the unit price. For unit‑based transactions, the window shows quantity instead of hours. When recording a standard‑priced transaction, the hour and unit price fields are inactive.
For an hour‑priced transaction:
- Enter the number of billable hours, which can be printed on the invoice specification.
- The billable hours are also copied as hours worked. Hours worked are for internal tracking only and do not appear on the invoice. You can correct the hours worked if, for example, all of a trainee’s hours cannot be invoiced to the customer.
- In the Unit price field, enter the transaction’s hour price (net). An hour price may already be inherited from the author’s user data, the transaction type, the customer, or the matter. The hour price is usually editable. If you cannot edit it, the power user may have limited price editing to a specific user group
(Application parameters > System parameters / Business unit parameters > Transactions > Transaction parameters > Allow hour price editing only to a user group). - Based on the billable hours and unit price, the software calculates the Total Price.
Time can be recorded with one‑minute precision by default, but hour entry may also be subject to rounding rules and minimum duration. If such rules are active, you will see them by hovering over the icon next to the Billable hours field. If the entered value is below the minimum or does not match the rounding rule, the software rounds it up when you leave the field.
Additional fields
- In the Transaction type field, you can change the transaction type if needed.
- You can also define the sales account and cost center for the transaction. These values are inherited from the matter, but the transaction author’s cost center overrides the matter‑level cost center. However, reporting is often based on the matter‑level cost center.
- The Required Skill area field can be used to specify which expertise was required to perform the work.
