CSI software usage is billed quarterly in arrears. The usage fee is per user, and the charge is based on actual monthly user counts. For example, if a user is on vacation for an entire calendar month without using CSI software, no usage fee will be charged for that user.
An activation report, which CSI receives from the customer’s software at the end of each quarter, shows how many active and passive users the customer had each month. Passive users are charged a lower fee than active users.
An active user is defined as someone who:
- Uses the software normally for saving, updating, and deleting data, OR
- Uses the software only for viewing data, but someone else makes entries in the software on their behalf.
A passive user is defined as someone who:
- Uses the software only for viewing data and no entries are made on their behalf, OR
- Does not log into the software at all, but someone else makes entries on their behalf.
If you want to check which users in your office have been active or passive, you can find this information in the report “Active and Passive Users of the Software.” The report is located in the Analyses folder under the Reports area. If the report is not visible in the list, the power user must publish it in the settings.
If a user is inactivated, no usage fee will be charged for the user.
The usage fee invoice may also include, for example:
- Cloud service charges if the software is used as a CSI cloud service
- Integration charges if the CSI software is linked e.g. to a separate document management or bookkeeping system
- CSI Plugin charges if customer-specific add-ons providing additional functionality have been added to the CSI software.
