The critical tasks added to the software may be synchronized with Outlook as Exchange calendar events. In that case, the Alert Time field in the critical task window is not mandatory, and an optional Reminder field has been added to the window. When synchronization is activated, a new critical task will send an Exchange calendar reservation to the responsible persons who have an email address saved in the CSI software. In the Outlook calendar, critical tasks appear in red, distinguishing them from other calendar entries.
Modifications to the critical task (e.g., changes to the responsible person or time) are updated in the Outlook calendar, and deleting the critical task cancels the Outlook calendar event. The responsible persons receive notifications of changes and deletions concerning critical tasks, but no email is sent when a critical task is marked as completed.
The power user may have also activated daily or weekly email reminders for critical tasks. These are sent according to the settings to all responsible persons for the critical task and to the primary responsible person for the sub-activities of the critical task. If the daily or weekly email reminder is enabled, the software does not create its own reminder for the critical task.
